Agenda Item: VIII.F.

Consider/Approve Door Access Control Bid

Preliminary Matters:

In addition to advertising, we solicited bids from Townsend Systems, Data Network Systems, Edutech, First Response, and Pro-Tec Security for the purchase of door access control systems (key card systems) for the classroom additions at Hillcrest and Lake Road Elementary Schools, and for South Fulton Elementary School. The door access control systems at Hillcrest and Lake Road Elementary Schools expands the current systems to cover the new additions, while the door access control system at South Fulton Elementary will secure the entire school. Although the classroom addition at South Fulton Elementary was eliminated due to an enrollment decrease, the school was a part of the original construction plans. We received bids from Townsend Systems, Data Network Systems, and Pro-Tec Security, as follows:

South Fulton

Hillcrest

Lake Road

Combination

Townsend Systems

$ 19,400.00

$ 8,700.00

$10,200.00

$ 38,000.00

Data Network Systems

$ 19,630.00

$ 10,352.00

$ 12,693.00

$ 42,675.00

Pro-Tec Security

$ 21,295.91

$ 5,306.05

$ 6,132.07

$ 32,734.03

The purchase of the door access control systems at each of these locations was anticipated during the budget planning process for the current fiscal year. Over the past three (3) years, monitoring and securing our buildings has been a top priority. Funds are appropriated in the FY09 budget as approved by the Board, within the Building Construction line item.

Staff Recommendation:

After discussing the above bids with Mr. Graham, it is our recommendation to split the bid, awarding South Fulton Elementary School to Townsend Systems for $19,400.00 and awarding the classroom additions at Hillcrest and Lake Road Elementary Schools to Pro-Tec Security for $11,438.12. The total cost, by splitting the bid, would be $30,838.12.
